Art & Soul Club – Terms & Conditions

1. General Overview
Art & Soul Club (“we”, “us”, “our”) provides art therapy and creative workshops for children aged 5–11 years at various off-site venues, including schools, educational centres, and other community locations within the United Arab Emirates. These terms outline the responsibilities, policies, and liabilities relating to participation in our sessions.
By enrolling your child in Art & Soul Club, you (“parent/guardian”) acknowledge and agree to the following terms.
2. Child Safety & Supervision
All sessions are led by an experienced Art & Soul Club staff Mentor who has been trained in Art Therapy for Children in adherence to Art & Soul Club's requirements. All staff are experienced in working with children, DBS checked and trained in safeguarding practices.
Children remain under the care and supervision of Art & Soul Club staff during the designated session time only.
Children must be collected promptly at the end of each session.
Art & Soul Club reserves the right to refuse service if safety protocols are not adhered to.
We follow the UAE Federal Law regarding child protection (Wadeema’s Law – Federal Law No. 3 of 2016), and will report any concerns regarding child welfare to the appropriate authorities.
3. Materials & Equipment Use
Art activities may involve the use of paints, clay, scissors, canvases, markers, charcoal, glue, fabric, and other art materials.
All materials used are child-safe and age-appropriate, and tools such as scissors are supervised closely.
Children are encouraged to wear suitable clothing. Art & Soul Club is not liable for any staining or damage to clothing or personal items.
In sessions involving clay, pottery, or similar mediums, all reasonable precautions will be taken to ensure safety, hygiene, and proper handling.
4. Venues & Third-Party Premises
When sessions take place at third-party locations (e.g., schools, community centres), Art & Soul Club operates as an independent service provider.
Responsibility for venue safety, accessibility, and emergency procedures lies with the host venue, not Art & Soul Club.
We are not responsible for accidents or injuries that occur due to conditions beyond our control (e.g., unsafe venue infrastructure).
4.1. Saturday Club Sessions
Our Saturday Club is a weekend creative programme offering extended art therapy sessions at selected third-party venues such as studios, schools, or community spaces within Ras Al Khaimah.
As with all off-site sessions, Art & Soul Club operates as an independent service provider. While we take every measure to ensure the safety and suitability of each venue, the venue provider retains responsibility for the property and facilities.
All materials and equipment are brought and managed by Art & Soul Club staff, with appropriate supervision throughout.
Bookings & Payment
Saturday Club sessions are booked on a week in advance.
Full payment in advance is required to secure your child’s place.
Due to high demand and limited capacity, all bookings are final.
No cancellations, reschedules, or refunds will be issued once payment has been made, regardless of reason (including illness, travel, or missed sessions).
In the unlikely event a session is cancelled by Art & Soul Club, a make-up session or equivalent credit will be offered.
5. Medical & Emergency Information
Parents must inform us in writing of any allergies, medical conditions, or special needs prior to the session start.
Art & Soul Club is not permitted to administer medication. In emergencies, we will contact the guardian and/or emergency services as required.
6. Liability Disclaimer
Participation in Art & Soul Club is at the parent/guardian’s and child’s own risk.
While all reasonable care is taken, Art & Soul Club is not liable for:
a) any injury, accident, or illness sustained during sessions;
b) any loss or damage to personal property;
c) any claims arising from unsupervised time outside scheduled session hours.
7. Bookings, Cancellations & Refunds
After-school club sessions are booked on a termly basis (e.g., 6–12 week blocks).
Full payment is required in advance to secure a place.
Due to limited availability and advance material preparation, no cancellations, refunds, or partial refunds will be issued once a term is booked.
If a session is missed by the participant (e.g., illness, travel, etc.), no refund or rescheduling is available.
In the event a session is cancelled by Art & Soul Club due to unforeseen circumstances, a make-up session or credit will be offered.
8. Photography & Media Consent
We may occasionally take photographs during sessions for promotional use (social media, brochures, etc.). We ensure the safeguarding of all children and will not include any faces that make a child identifiable on a photograph.
Consent will be requested during registration. No images will be used without explicit written permission.
Art & Soul Club will hold termly exhibitions to showcase the children’s work. These will be held at the third-party venue your child has attended at their after-school session. For these events, we do have photography available for parents and carers to purchase at their request. We ask all parents/carers to be mindful of other children and families attending and to only take photographs of their own child.
9. Code of Conduct
We aim to create a respectful, inclusive, and supportive environment.
Disruptive or unsafe behaviour may result in a child being removed from the session without refund.
Repeated incidents may result in permanent exclusion from the programme.
10. Governing Law
These terms and conditions are governed by the laws of the United Arab Emirates, and any disputes will be subject to the exclusive jurisdiction of the courts of Ras Al Khaimah.
